Office manager (HR)
UNLOQ is a fast-growing, international organisation specialized in ‘innovative people development’ with an expertise in online coaching and leadership development & organisational development. At the foundation of the work lies our self-developed, evidence inspired method and behavioural change approach. We have written several books about this and built an inhouse state of the art platform (UNLOQ Campus) for it. The position
The Office manager HR is a pivot in the net. A big part of your work will be supporting our HR Manager. Together with her you take care of all HR related administrative tasks for our core team. The core team consists of 25+ employees who mostly work remotely from different locations around the world. Next to that you support our Facility Manager to make sure that all is efficiently and well organised at and for our office in Tilburg and you are part of the DEI team. And if there is some time left you will be assisting our project managers with all kinds of divers coordinating and administrative tasks.
You like to serve & support, to be part of a dynamic and purpose driven team, functioning in a rapidly changing environment and your strength lies in administration, communication and organization. Please note that for the partly international position based in Tilburg, you must be able to speak and write both fluent Dutch and English.
Core tasks and key result areas
Supporting on diverse tasks for example:
- Post staff advertisements on appropriate media (e.g. LinkedIn) and collect responses
- Scheduling calls and job interviews
- Assist in onboarding new core team members by ensuring they receive the right materials
- Document management, such as sending and checking that documents are complete and still valid
- Assisting in organising online & on-site events and arranging presents and surprises in case of anniversaries
- Keeping the Tilburg office presentable and ordering office & PR materials
- Contact person for maintenance suppliers (eg. cleaners)
- Regular check of insurances
- Telephone and (digital) mail
- Back up for Travelperk (system in which we book flights, hotels, etc.)
- Maintaining archives
- Administrative support for Project Manager
Your profile:
- Pragmatic, hands-on, accurate and fast
- Caring, driven, proactive, flexible, and independent
- Quick learner and can easily adapt/pick up use of different applications/systems
- Friendly and strong communicator, verbal and in writing
- Can work well in a changing and sometimes hectic environment
- Ensures work gets done
- Customer oriented, team player, result/task oriented, representative, and discrete
- Completed a diploma or college degree in administration or secretary studies
- Minimum 3 years of working experience
Your skills:
- Excellent command of the Dutch and English language (verbal and written) is a must
- Excellent communication skills (verbal and written)
- Accuracy and a keen eye for detail
- Quick understanding of different IT tools like Basecamp, Acuity, Slack, Onedrive, Sharepoint and LMS systems etc
- Excellent in use of Microsoft Office (Word, PowerPoint and Excel)
- Experience with Human Resources is a pro
